Taking a Lease

If you are looking to lease a property from others, it is strongly recommended that you contact the legal office of Trustees for Methodist Church Purposes at the earliest possible stage. They will be able to give guidance relating to the lease, inform you of what documentation they will need to see and the process which needs to be followed to finalise the legal documentation.

Creating a new project to lease a property owned by others e.g. premises on the high street.

Click on the Add New Project button and this will display a form requesting some basic preliminary details which need to be completed before you can create your project record. As you complete this information, additional questions will appear to guide you through.

Click on Select Trustees and select the managing trustees you are representing. Enter a project name to identify your project e.g. 'Leasing No.26 High Street for outreach project' and then enter a project description to provide further details of what the proposals entail.

Next you will need to click on Add Activity and then select Lease From, to show that you are proposing to lease property from others. In the description of the Project Activity, you can add a concise note to identify what is being leased.

You can then give the property to be leased a more useful name e.g. changing it from 'New property to lease' to '26 High Street - Outreach project'. When the details of the property which is to be leased is known, these will need to be updated on the Property Details screen accordingly (by clicking on 'View/Edit this property' on the project record or via Manage Properties).

Once all of the details have been entered, click on the Create New Project button at the bottom of the form. The project record will now be created, with a unique project ID reference and will be linked to the property that is to be leased. You can now continue entering further information into the project record for this proposed lease.

Completing the project record for leasing property from others

When your project record opens for the first time, you will see Step 1 Complete Required Information is highlighted. Hovering over this first step will show what areas need to be completed.

For a Lease From, you will see the Project Summary tab, Project Purpose tab and the Lease tab have been activated. You will need to complete the required information on each of these tabs to resolve the outstanding issues shown at the top of each tab.

On the Project Purpose tab some of these questions may not be entirely relevant and in some cases you may need to enter 'not applicable' in the boxes and click the Save button.

By clicking on the Lease tab, you will see that information about the proposed lease will need to be completed. You will need to work down through the Lease tab entering the required information. After entering some information and clicking the Save button, any required questions which have not been completed will be highlighted. On the Lease tab, after entering some information, other relevant questions will be displayed and will need to be completed e.g. in some cases a surveyors report may be required but this depends on the type of lease and will be indicated on the form accordingly.

For any lease, a draft of the leasing agreement needs to be sent to the TMCP legal office at the earliest possible stage. TMCP will need to be involved in finalising the legal documentation.
